Notifications

Workist informs you in two ways about documents that need your assistance:

  • Email summaries at fixed times. An Admin sets the schedule for the whole company. Each user can unsubscribe from the emails for themselves.
  • Browser notifications for individual documents that Workist is currently processing.

Company Notifications: Schedule for the Company

Users with the Admin role set the schedule of the email summaries (see Users and roles). It applies to all users of the company.

  1. Open "Settings" → "Company".
  2. Select "Company Notifications" in the navigation on the left.
  3. Choose an option under "Email Notification Option", add the day of the week and time if needed, and click "Save".

"Never"Workist sends no summaries.
"Whenever an assistance is needed"Email notifications are switched on, but without a schedule. With this option, Workist currently sends no summaries. If you want to receive emails, choose one of the two schedules below.
"Every working day (Mon-Fri)"One summary Monday to Friday at the selected "Time". Under "Additional Time" you can choose a second time on the same day.
"Once in a week"One summary per week on the selected "Day of the week" (Monday to Friday) at the selected "Time".

As the time, you choose a full hour between 06:00 and 20:00. The time zone from the "Company Profile" applies. New companies start with summaries every working day at 08:00 and 13:00.

Content of the Summary

The email lists every channel you are responsible for through your teams. For each channel it shows:

  • how many documents are waiting for assistance, and
  • how many documents were completed since the last summary.

Workist sends a separate email for each document type (orders, price requests, order confirmations, invoices, delivery notes). A button in the email takes you straight to the Workbench.

Workist sends the summary to all active members of the team a channel is assigned to. You do not receive a summary for channels of other teams, not even as an Admin.

Personal Email Notifications

Each user can switch the emails on or off for themselves:

  1. Click your name in the bottom left and select "Your profile".
  2. Select "Notifications" in the navigation on the left.
  3. Set "Receive email notifications" to "Yes, if enabled for organization" or "No" and click "Save".

New users start with "Yes, if enabled for organization".

Besides the summaries, the setting also applies to these emails:

  • notices about failed master data imports (sent to users with the IT role)
  • the notice that your Personal Smart Inbox has lost its connection to Outlook

You receive emails about invitations and password resets regardless of this setting.

How the Company and Personal Settings Interact

You only receive a summary if all three conditions are met:

  1. Company notifications are set to "Every working day (Mon-Fri)" or "Once in a week".
  2. Your personal setting is "Yes, if enabled for organization".
  3. You are a member of the team the channel is assigned to.

Browser Notifications for Individual Documents

If you open a document that Workist is still processing (status "Pending"), the Workbench shows the hint "Tip: Enable processing notifications".

  1. Click "Subscribe to notifications".
  2. Allow notifications when your browser asks.

If the document needs your assistance after processing, your browser shows a notification. Clicking it opens the document. If Workist processes the document fully automatically, no notification is shown.

  • The subscription applies only to this one document and only to the browser in which you enabled it.
  • Use "Unsubscribe from notifications" to cancel the subscription.
  • If your browser does not support push notifications, the hint does not appear.
  • Browser notifications are independent of the email settings.
