Connectors for ERP Systems

A connector links Workist directly to your ERP system. Workist takes master data from the ERP and creates processed documents there. For systems without a connector, you exchange master data and results via SFTP or the API.

Connectors installed in the ERP system​

For these systems, an extension is installed in your ERP system.

  • Sage 100: You install the Workist API extension in Sage 100. Workist uses it to read master data and create sales documents. From version 9 of the extension also price check, open quotes and the ERP features of the agents.
  • Microsoft Dynamics 365 Business Central: The "Workist Integrator" app sends master data to Workist and takes over completed documents, for example as sales orders.
  • SAP ECC and SAP S/4HANA: An ABAP package that our partner Syncwork AG installs in your SAP sends master data to Workist and creates completed orders as sales orders. Also for SAP R/3.

Connectors without installation in the ERP system​

For these systems, Workist connects to your ERP system's interface. Nothing is installed in your ERP. You set up the connection in the Workbench, see What all connectors have in common.

  • SAP Business One: reads business partners and items, creates orders as sales orders.
  • Microsoft Dynamics 365 Finance & Operations: reads customers and released products, creates sales orders and sales quotations.
  • microtech büro+: reads addresses, articles and open quotes, creates orders and requests for quotation as transactions.
  • ORDAT.ERP: reads customers, articles and units, creates sales orders and quotations.
  • NetSuite: reads customers and items, creates sales orders, estimates and vendor bills.
  • QuickBooks Desktop: reads customers and items, creates sales orders. QuickBooks Online is not supported.
  • OrderWise: creates sales orders and quotes and checks unit prices against OrderWise.
  • Weclapp: reads customers and articles, creates sales orders and takes over emails from Weclapp tickets.
  • Sage 200 Professional: Sage 200 for the United Kingdom.

What all connectors have in common​

This section applies to the connectors without installation in the ERP system. For the other connectors, the process is described on their own pages.

Setup in the Workbench

Users with the IT or Admin role (see Users and roles) set up the connection under Settings → Business Systems (ERP) → Integrations: click Connect next to the system, enter the credentials and select the channels whose documents are transferred to the ERP system. For the selected channels, Workist switches the transfer to the ERP integration and turns off the output file. The "Push results automatically" option in the channel's upload configuration must stay on, otherwise Workist transfers nothing.

Master data

  • Workist reads the master data from the ERP system once a day. The time is listed on each connector's page.
  • Trigger master data update on the integration page starts a sync right away.
  • Workist writes the master data into the master data lookups assigned to the connected channels (see Master Data Hub). Each run replaces the previous data.
  • Workist knows newly created customers and articles from the next run onwards.

Documents

  • As soon as a document is completed, automatically or after you have edited it, Workist creates it in the ERP system.
  • The document number from the ERP system is then shown as the reference on the document in the Workbench. You can search for it in the document list.
  • Workist creates new documents. Workist only changes existing documents in the ERP system where the connector's page says so, for example when a quote is converted into an order.

Errors

If the ERP system rejects a document, it appears again among the open documents. The document shows "Your system rejected the document with the following response:" followed by the ERP system's message. Workist does not retry the transfer automatically. Fix the cause, for example missing master data in the ERP system, open the document with Reopen for assistance, correct it if needed and complete it again. Workist then transfers it again.
